What is Grievance Handling and Management and the Steps to Handle It.
The process of handling and resolving employee issues, disappointment, injustice or complains within a company is referred to as grievance handling and management (indeed, 2024). Makwana, V. & Pandey, P. (2022) stated that grievance is happened when the employees feel they treated unfairly in the organization regarding the work conditions, payment, interpersonal relations, and company policies etc.
So, the grievance handling and management procedure is includes setting up processes and policies for employees to raise their grievance by communication through either directly or indirectly method, investigate fairly about the complaints and gather the information, respond appropriately to the issues, and communicate about the progress, outcome while giving explanation about the decision made. Finally, continuously assess the improvement by getting the feedback and evaluations (Ajay Asok, 2023; Castle Associates, 2019).
Employee Satisfaction: Resolving issues in a timely and equal manner illustrates how the company shows their concern about the welfare of its employees. This may result in enhanced morale, job satisfaction, and lead to healthy workplace environment & satisfaction (Webnyay, 2023).
Talent Retention: When
workers believe their concerns are acknowledged and taken seriously, they are
more likely to remain with the organization. Skilled employees may leave the
company or drift away because of unresolved grievances or unhappiness if
grievances are not handled well (indeed, 2024).
Conflict Resolution: Grievance handling is a methodical approach to settling disagreements and problems at work. Companies should have managed conflicts from getting worse and interfering with teamwork and production by handling grievances properly and fairly manner (indeed, 2024; Webnyay, 2023).
Organizational
Culture: An
organization's culture of open communication, transparency, and trust is
created by a grievance management system that operates properly. employees feel
free to voice their concerns because they know that the issues will be
considered carefully and dealt with properly (indeed, 2024).
Productivity
and Performance: Employees can
be able to concentrate on their task and they may give their best efforts to do
the job when grievances are addressed correctly also productivity and performance will
not be affected by its grievance and it prevents the grievances being spreading.
Reputation
Management: customers
and potential individuals are become attractive to a company with a reputation
for fair treatment of their employees. As a result of grievance handling effectively
will helps to maintain a positive reputation internally among employees as well
as externally (Webnyay, 2023).
Examples for Grievance Handling and Management in Sri
Lankan companies
Hayleys PLC, (2023) stated that they have their own policy which is
offered an organized framework to complainants and complaint when they need to handle and resolving grievances. ALUMEX PLC
the subsidiary company of Hayleys group, gives the right to their employees to
raise their concern through the grievance process when they don’t get any
proper solution within departments. This procedure managed by the Hayleys Group
and will handle independently according to their reports (ALUMEX PLC, 2023).
Softlogic Group maintaining a grievance handling procedure, which can be
used by any employees if he/she faced with any concern or an issue. The policies
are communicated through all the employees by a handbook and also the relevant authorities.
Even if the middle management cannot given them a proper solution, the
employees can be address the problem through the grievance procedure and it
will reach out to the attention of higher positions (Softlogic,2022).
Conclusion:
In summary, effective grievance handling and management are important
for maintain a positive work environment, solving conflicts, and manage
employee satisfaction and engagement. By addressing grievances transparently
and fair manner, organizations can be moderated the risks, increase the employee
relations, and foster a culture of trust and accountability. And for effective
human resource management and organizational development its crucial to handling
and management the grievances.
